Cannabis POS in Ohio

Ohio cannabis dispensaries need a POS that integrates with Metrc, the state seed-to-sale tracking system used since the medical program launch in 2018 and carried into the adult-use program that started retail on August 6, 2024. The Ohio Division of Cannabis Control (DCC) regulates both programs from inside the Ohio Department of Commerce. What Ohio requires from your POS

Ohio DCC requires every licensed medical marijuana dispensary and adult-use retailer to report inventory movement and sales through Metrc. Dispensaries holding a Dual Use Certificate (the post-Issue 2 designation that lets a medical dispensary also sell adult-use) operate both programs from a single Metrc account, with separate reporting categories.

Direct Metrc API integration is standard. The POS pushes sales to Metrc within minutes. Manual entry into the Metrc web UI is allowed but creates daily reconciliation work and is the most common DCC audit finding. Batch CSV upload exists but is rarely used.

Beyond Metrc, Ohio POS must enforce per-day purchase limits (2.5 ounces flower equivalent per day for adult-use customers, separate per-fill limits for registered medical patients), apply the 10% adult-use excise tax plus standard 5.75% state sales tax (and any local sales tax), and keep registered medical patient transactions tax-exempt. Patient registry verification is required at every medical-program sale; the POS handles this via integration with the Ohio Medical Marijuana Patient Registry.

Vendor landscape in Ohio

Most major vendors had Ohio adult-use support ready by go-live. Independent operators that switched POS during the conversion window paid migration premiums. Operators that stayed on existing Metrc-integrated POS and waited for vendor updates avoided most of the disruption.

Cannabis POS pricing in Ohio

Three cost lines apply. Subscription: $400 to $1,400 per location per month. Payment processing: 3% to 5% on PIN debit or cashless ATM (Aeropay, Hypur, Paybotic). Hardware: $1,500 to $3,500 per terminal one-time, or $80 to $150 per month leased. Implementation: $1,000 to $5,000 covering Metrc setup, menu build, training, and integration testing.

Ohio contract terms typically run 24 to 36 months for discount tiers. Negotiate a clause that lets you exit if Metrc service degrades materially or if Ohio re-bids its tracking contract. Ohio's current Metrc agreement is in place but state procurement timelines change.

Ohio-specific compliance considerations

Patient registry integration: every medical-program sale requires real-time verification against the Ohio Medical Marijuana Patient Registry. Major POS vendors handle this automatically; smaller vendors may require manual lookups. Dual Use Certificate workflow: a single dispensary with both license types runs medical and adult-use in parallel through the day. The POS needs a clean customer-type toggle at checkout to apply the right limits, taxes, and registry checks. Pharmacist on staff: medical dispensaries (now most dispensaries under the Dual Use structure) require a pharmacist on duty. Some POS systems integrate with the pharmacist consultation log; others require a separate workflow.

Implementation timeline

Plan 4 to 8 weeks from contract signature to go-live. Week 1 to 2: contract, Metrc credentials, Ohio Patient Registry credentials if medical, hardware order. Week 3 to 4: menu setup, employee accounts, sandbox testing. Week 5: staff training (8 to 16 hours per role, with extra time for pharmacists on consultation workflow). Week 6: soft launch with one terminal. Week 7 to 8: full cutover.
